Finance and Office Administrator

CONTRACT TYPE

Salary: €31,000 - 36,000 per annum, 4 days per week.

Start date: April 25th 2022.

Hours: 32 hours per week.

Location: Galway, Ireland.

OVERVIEW/BACKGROUND

This is an exciting opportunity to join the Galway offices of the Global Legal Action Network (GLAN), an innovative non-profit organisation that pursues international human rights litigation. We require a dynamic person with excellent organisational skills to work closely with GLAN's Director in handling our charity’s financial and administrative management.

This is an exciting time to join GLAN, as we have undergone a period of rapid growth and development fuelled in part by our ground-breaking work tackling climate change alongside a range of compelling programmes using legal strategies to create real, sustained change for communities impacted by serious human rights violations. The role offers the right candidate the opportunity to shape our organisation and support our team who work on the most pressing human rights violations and environmental harms.

ABOUT GLAN

GLAN works with affected communities to pursue innovative legal actions across borders to challenge states and other powerful actors involved in human rights violations and systemic injustice. Our actions address the most pressing instances of human rights concern and they fall within the following themes: War and occupation; accountability and supply chains; environmental and economic justice; and migration and border violence.

Our diverse strategies unlock the potential of foreign courts and legal mechanisms. Since being established in 2016 we have developed legal strategies directly addressing human rights impacts in over 23 countries and territories. We work with the individuals and communities resisting injustice to  empower and amplify their voices. Our approach is networked and nimble, allowing us to advance cases across multiple issues and jurisdictions despite our compact team.

 

JOB DESCRIPTION

The successful candidate will work closely with GLAN's Director and will be responsible for the following:

 

  • Provision of full range of administrative support for Director to assist with the development of a professional back-office.

  • Ensure operation of GLAN’s payroll and oversee the internal financial administration, external invoicing/payments arrangements.

  • Management of bookkeeping systems, accounting framework and processing of transactions.

  • Support the preparation of the annual budget and annual audit.

  • Support donor reporting and grant administration.

  • Administer trustee meetings and minute-taking.

  • Data input including client management, case management systems, leave records etc.

  • Organising away days and other key strategic events.

EXPERIENCE

Essential

  • A dynamic person who is motivated by our work who will proactively develop simply systems to help our organisation be more effective.

  • Experience of working in finance at a level compatible with the requirements of this role

  • Knowledge of the finance function of a charity including the financial requirements of charity legislation and the charity SORP.

  • Demonstrable experience of financial management, budgeting & forecasting, consolidation, management & financial reporting, and assisting with the preparation of annual accounts.

  • Experience of using Xero or similar finance software.

  • Experience of preparing budgets, management accounts and statutory accounts within a charitable setting.

  • Advanced knowledge of Microsoft Office, with enhanced skills in Excel.

  • Self-motivated with a can-do attitude and the initiative to anticipate and meet needs and identify ways to improve processes

  • Proven interpersonal skills with experience of interacting at all levels of the organisation

  • Proactive problem-solving skills.

  • Clear and positive communications skills alongside a team-orientated attitude. Be able to demonstrate exceptional attention to detail.

  • Have excellent written English and have the ability to prepare and draft correspondence, minutes and notes of meetings.

  • Have the ability to work on own initiative, prioritise and manage a number of issues simultaneously.

Desirable

  • Diploma in Charity Accounting.

  • Experience working in charity finance.

  • Experience working with foreign currencies and multi-currency accounts.

  • Experience of VAT monitoring and/or reporting.

  • Bheadh an Ghaeilge ina buntáiste
